How to Create a Company Profile

This article walks through creating a new company profile and tours the optional Billing, Rates & Charges, Contacts & Contracts, and Preferences tabs.

Create a company profile to track a corporate account. The first six steps cover what's needed to save the profile; the remaining steps tour the optional tabs.

Create the company

1. From the side menu, click Companies.

2. Click + Add New in the top right of the Companies list to start a new company profile.

3. Fill in the two required fields: Company Name and Corp ID. You can also optionally choose a Type, Sales Representative, and Categories to help organize the record later.

4. Expand the Operations & Accounting section to add optional billing and operations details — Direct Bill toggle, AR Customer #, AP Vendor #, insurance company, policy number, and policy expiration date. These fields are not required to save the profile.

Add address and primary contact

5. In the Address section, enter the company's mailing address — Address Line 1, Country, State or Province, City, and ZIP/Postal Code.

6. In the Contact Details section, add the primary contact's First Name, Last Name, Email, and Phone Number. This contact is the default billing and communication contact for the company.

Configure the additional tabs

The remaining tabs are optional. You can leave them empty when creating the company and update them later from the company's profile page.

7. Billing tab — sets up how this company is invoiced. Configure credit limit, payment terms, statement preferences, accounting codes, and any standing discount rules that apply to every rental booked under this company.

8. Rates & Charges tab — assigns rate plans to the company. Pick a default rate code, add additional rate codes the company is eligible for, and (optionally) configure per-class or per-location rate overrides for negotiated pricing.

9. Contacts & Contracts tab — adds extra contact people for the company beyond the primary contact (billing, secondary, etc.) and records any active contracts you have with them.

10. Preferences tab — sets rental defaults that pre-fill on every reservation and rental agreement made under this company. Insurance preferences (CDW, PAI, PEC, SLI), prepaid gas level, default vehicle class, and a standing comments field.

Save the profile

11. Click Create Company at the bottom of the form to save the new profile. You'll be taken to the company's detail page where you can come back and update any tab at any time.
